Tour and Travel Coordinator

About the role

We are seeking a dedicated and enthusiastic Tour and Travel Coordinator to join. This is a full-time position that plays a crucial role in delivering exceptional travel experiences to our clients. As a Tour and Travel Coordinator, you will be the backbone of our operations, ensuring that every tour and travel arrangement runs smoothly from initial booking through to client departure. This role is essential to maintaining our reputation for outstanding service and creating memorable experiences for our guests.

Key responsibilities

• Coordinate and manage tour itineraries, ensuring all bookings, accommodations, transportation and activities are confirmed and organised

• Liaise with clients to understand their travel requirements, preferences and budgets, providing tailored recommendations and solutions

• Manage client communications throughout the booking and travel process, providing timely updates and addressing any enquiries or concerns

• Prepare comprehensive travel documentation including itineraries, confirmations, vouchers and travel guides for clients

• Monitor tour operations and resolve any issues that may arise during client travel experiences

• Maintain accurate records of bookings, payments and client information in our management systems

• Collaborate with local guides, hotels and activity providers to ensure quality service delivery

• Handle payments, invoicing and reconciliation of tour packages

• Provide exceptional customer service and support to ensure client satisfaction and repeat business

What we're looking for

• Proven experience working as a tour coordinator, travel agent or in a similar travel industry role

• Strong organisational skills with the ability to manage multiple bookings and itineraries simultaneously

• Excellent communication skills, both written and verbal, in English and Indonesian (additional languages are advantageous)

• Proficiency in travel booking systems and software, including GDS platforms where applicable

• Detailed knowledge of sales tourism, including popular destinations

• Strong customer service orientation with a commitment to providing outstanding support to clients

• Ability to problem-solve creatively and handle unexpected situations calmly and professionally

• Excellent attention to detail and accuracy in managing travel documentation and bookings

• Flexibility and willingness to work in a fast-paced, dynamic environment
